1. Introduction

The Roche Basel Employees’ Association (“AVR”) undertakes to protect your personal data.

This Privacy Policy explains how we collect, use, share and protect the personal data you provide to AVR when you use our website(s) or interact with us, what steps we take to protect your personal data and what choices you have regarding the use of your personal data.

This Privacy Policy applies to the data collected by the AVR. Our websites may also contain links to third-party websites. We are not responsible for or endorse the content of any third-party websites or resources, and our Privacy Policy does not apply to any websites that are not affiliated with the AVR, even if you access them via a link on our website. You should review the privacy policies of third-party websites before providing them with information.

2. Who is responsible for the data?

The Roche Basel Employees’ Association (AVR) is responsible for the processing of the data. The AVR is an independent association for employees and retirees of the following Roche companies and branches (jointly “Roche”):

3. How and why do we process your data?

Information you provide in order to become a member: If you decide to become a member of the AVR, we will collect information about you, including, but not limited to, your name, employer’s name, contact details, Roche personnel number, Roche email address and any other information that you may wish to provide us.

Information we receive from Roche: Once you are a member of the AVR, we may also receive information directly from your employer to ensure that our membership information is up to date. These include, for example, a change in your name or address, joining or leaving the company, internalisations and externalisations, international postings and transfers within Switzerland. In addition, the AVR regularly receives a monthly extract of registered memberships, including the most up-to-date address details. We use this data exclusively for the purposes of your AVR membership and limit it to a minimum.

Information you voluntarily provide when you visit our website(s): In general, you can visit our websites without providing any personal details. We only collect the personal data that you provide to us when you log in using the online registration tool on our website.

Automatically collected information: When you visit our website, we collect other general information about you that does not directly identify you, but which can be associated with you or a particular device. We use some of this information to enable our websites to operate, to learn more about how our websites and online resources are used, and to otherwise improve and manage our website. In most cases, this information is collected automatically to safeguard our legitimate interests.

Aggregated information: In some cases, we also remove identifying characteristics from the data we collect and store them in an anonymised or aggregated form. We may combine this data with other information to create anonymous, aggregated statistical information (e.g. number of visitors, origin of internet service providers’ domain names) that will assist us to improve our services.

4. Who gets your data?

Information we share with Roche: To simplify the annual salary deduction of your AVR membership fee, Roche enters the “AVR membership” property in Workday. The AVR provides a monthly list of the names and personnel numbers of its new members to Roche’s Human Resources Department to this end.

5. Information we share with third parties:

Only if you have explicitly given your consent can the AVR pass on personal data about you to external companies for the purpose of sending newsletters/flash news, elections & votes or to offer discounts or a discount platform. We will not disclose your personal information to third parties for their own direct marketing purposes unless the third party obtains your express consent for such purposes.

We may also share your personal information:

(a) to respond to requests from legitimate governmental authorities, or as required by applicable laws, court orders or governmental regulations; or

(b) if required for internal audits or revisions or to investigate or respond to a complaint or security threat.

6. Links to other websites

Our websites contain links to a number of websites that can provide useful information to our visitors. This Privacy Policy does not apply to those websites and we recommend that you contact them directly for information about their privacy policies. The AVR website(s) may use interfaces to social media sites such as Google+, Facebook, LinkedIn and Twitter, amongst others. If you decide to “like” the AVR website or share information with others via these services, you should read the privacy guidelines of the service concerned. If you are a member of a social media website, the social media website’s interfaces may allow you to link your visit to the website with your personal data.
